Bookkeeper
Position Summary
This Bookkeeper role supports the finance and administrative functions of a mission-driven organization. Working closely with leadership, staff, and program teams, this position helps ensure accurate financial records, compliance with applicable regulations, and smooth day-to-day accounting operations.
Essential Duties & Responsibilities
The Bookkeeper is responsible for providing a wide range of fiscal support, including but not limited to:
General Accounting Support
- Provide assistance across all areas of the accounting department
- Enter statistical and qualitative information for regular fiscal reporting
- Accurately input Accounts Payable transactions and journal entries in QuickBooks
- Ensure proper coding and documentation for all source entries
- Prepare and post cost allocations as needed
- Notify leadership of discrepancies or accounting errors
- Maintain compliance with GAAP standards
- Process payments by verifying transaction details, scheduling and preparing disbursements, and securing necessary approvals
- Run financial and operational reports upon request
- Maintain both paper and electronic accounting files
- Maintain fixed asset records
Collaboration & Organizational Support
- Participate in staff meetings, trainings, and planning sessions
- Attend regular supervision and check-in meetings
- Maintain strong working relationships across departments and support positive conflict resolution
Payroll Responsibilities
- Verify employee timecards
- Enter payroll data into accounting software
- Communicate with staff and supervisors as needed
- Distribute paychecks
- Maintain payroll files
- Ensure payroll tax compliance
- Calculate benefit-related deductions
- Coordinate with external payroll providers when necessary
Cash Management & Reporting
- Process deposits for accounts receivable, donations, rents, or similar revenue sources
- Maintain property-related files, such as lease agreements and rent logs
- Reconcile bank accounts
- Compile documentation for audits
- Prepare reports for monthly grant or contract billing
Qualifications
- Minimum 4 year of experience in accounting, administrative work, or QuickBooks
- Must be at least 18 years old
- Must be legally eligible to work in the U.S.
- Ability to pass applicable background and compliance checks
- Valid driver's license and reliable transportation (if required for job duties)
- Experience with QuickBooks, Windows-based systems, Microsoft Office, and general computer applications
- Strong organizational skills, attention to detail, and follow-through
Education & Experience
Candidates may qualify through one of the following pathways:
- AA degree in Accounting, OR
- High School Diploma plus 4 years of experience in accounts payable and payroll, OR
- A combination of education and experience totaling at least 4 years
- At least one year of recent experience using QuickBooks
